Reports to: Business Office Supervisor and Business Office Manager
Job Summary:
Under the supervision of the Business Office Supervisor and Business Office Manager,
the Business Office Tech is responsible for customer service, utility billing, and clerical
support functions. This role requires strong customer service skills, accuracy in billing
processes, and efficient handling of clerical tasks. Responsibilities include customer
interactions, billing preparation, account management, and administrative support. This
position contributes to the smooth operation of the Business Office by ensuring
accuracy in billing and excellence in customer service.
Key Responsibilities:
Customer Service Duties:
- Answer telephone calls and greet visitors, providing information and resolving
customer complaints. - Set up, maintain, and close customer accounts; process customer account changes.
- Receive, process, and balance customer payments, including night drop box
payments. - Communicate effectively with field personnel to coordinate customer service
activities
Utility Billing Duties:
- Import and export meter data, review abnormal usage reports, and contact
customers regarding billing inquiries. - Calculate, process, and distribute customer bills; apply late fees and prepare shut-off
lists. - Manage work orders for meter changes and database updates.
Administrative and Clerical Duties:
- Open and sort mail; prepare and maintain work orders, files, and records.
- Prepare a variety of regular and special reports as needed.
- Assist in the general administrative and clerical tasks required for efficient office
operations.
Qualifications:
- High school diploma or equivalent.
- One to two years of experience in customer service, billing, or related clerical roles.
- Knowledge of customer service principles and modern office procedures.
- Knowledge of utility billing practices preferred.
- Proficient in computer usage, including familiarity with billing software and standard
office equipment. - Strong organizational skills, attention to detail, and ability to multitask.
- Effective verbal and written communication skills.
- Valid state-issued driver’s license and insurability.
- Ability to pass pre-employment screenings.
Work Environment:
- Office-based position primarily performed at a desk, with intermittent sitting,
standing, and stooping. - Occasional lifting of objects up to fifty (50) pounds.
- Occasional overtime may be required, along with travel for workshops and seminars.
